Technical Production for Conferences and Forums

CET crew translates the organiser's objectives into a clear technical solution for a conference or forum. The client does not need to understand every piece of equipment: we clarify the format and expected result, design the system, prepare the equipment and operate it at the venue.

The solution reflects the project's needs, vision and budget — from the technical plan and estimate through installation, testing, live operation and dismantling.

From Objectives to a Complete Technical System

We are responsible not for renting individual devices, but for making sound, video, lighting, presentations and online components work as one system. The organiser can describe the objective in familiar terms; our team selects the technical approach and explains the purpose of each element.

If an initial request would not produce the expected result, we explain the limitation and recommend a practical solution for the format, venue, requirements and budget.

Conference and Business Event Formats

We support conferences, forums, congresses, panel discussions, presentations, training events, press conferences, strategy sessions, facilitated meetings, assemblies and corporate events.

We can also build an on-location studio at the client's venue for recording a training course or masterclass.

Sound, Screens, Lighting and Video

The technical configuration may include wired and wireless microphones, conference systems, PA systems, LED screens or projection, stage and room lighting, multi-camera production, in-room video and online streaming.

We design the system for the actual room, audience, stage position, content format and event flow instead of supplying a generic equipment list.

Presentations, Speakers and Technical Run-through

We check presentations before the event and again after updates, arrange slide control using clickers, tablets or dedicated software, and provide timers or prompts on separate confidence monitors for speakers.

Before the event, the team runs through the technical scenario and checks primary and backup signal paths. A separate rehearsal with the client or speakers can be added when required.

Remote Speakers, Streaming and Recording

We connect remote participants through Zoom, Microsoft Teams, vMix Call or the client's corporate platform when the project requires it.

On request, we provide online streaming, multi-camera production and recording of the programme or separate signals. Deliverables and handover arrangements are agreed before the event.

Redundancy for Critical Systems

The level of redundancy is defined by project risks, requirements and budget. Depending on the configuration, we may provide backup internet, UPS power for the control position, replaceable playback devices, spare microphones and a backup stream destination.

Specific projects may also require a generator, additional signal paths or reserve personnel.

Technical Crew and Coordination

Depending on the project, the crew may include a technical manager, video director, sound engineer, lighting director, camera operators, stage manager and video, audio and lighting technicians.

For most projects, we coordinate technical matters with the venue and other suppliers. When CET crew works as an agency subcontractor, we deliver the agreed technical scope and integrate with the lead production system.

Integration with Venue Systems

When a full system replacement is unnecessary, we can integrate our equipment with a venue's built-in projector, LED screen or other technical systems.

Before using existing equipment, we check compatibility and whether the result can be properly controlled. Venue sound systems are used only when their configuration is suitable for the project.

Simultaneous Interpretation

For multilingual events, we arrange the equipment and engage trusted interpreters. Available systems include infrared distribution, receivers integrated into headsets, and Euro-standard floor or tabletop booths.

The number of language channels is defined by the project. Separate language feeds can be included in the stream or recording, and remote simultaneous interpretation is also supported.

A typical workflow includes the brief, venue survey, technical plan, estimate, installation, testing, live operation and dismantling.

The CET crew team is based in Kyiv and can work in other cities across Ukraine. For travel projects, the estimate separately accounts for logistics, transport and crew accommodation.
