4th Ukrainian Tactical Medicine Forum: Prolonged Casualty Care

The task was to deliver full technical production for a full-day forum with more than 300 participants in a venue with complex geometry and multiple structural columns.
Some seating areas had limited direct visibility of the stage, so additional audio and video coverage was required. Another constraint was privacy: certain attendees could not appear in the final video materials, which had to be considered both during filming and in post-production.
The technical scope also included the LED screen, stage platform, sound, microphones, stage and photo-zone lighting, video production, speaker presentation inputs, additional power distribution for the partner area and redundancy for critical systems.

The stage was built around a 4 × 2.5 m LED screen, selected as the largest practical size for the venue height while maintaining suitable proportions for presentation content. A 5 × 2 m carpeted platform was installed in front of the screen.
Four additional large displays were positioned around the room for attendees whose view of the main stage was restricted by the venue geometry and structural columns. They could show the speaker camera feed together with presentation content and could also operate independently from the main LED screen when different information was required.
A two-camera system provided wide and close-up stage views for in-room IMAG and recording.
The PA system consisted of two main tops and two subwoofers at the stage, supported by two additional fill speakers. This provided even speech coverage throughout the audience area without unnecessarily increasing sound levels in the adjacent exhibition and catering zones.
Five handheld wireless microphones and two headset microphones were used for speakers, with wired microphones prepared as backup.
The stage was lit with neutral white light for consistent camera exposure against the LED screen, while the photo zones used a combination of white and decorative colour lighting.
Because standard 220 V outlets were limited, CET crew connected its own distribution unit to a 380 V supply and created separate 220 V circuits for the partner area.
Critical control systems had backup power, cameras had battery redundancy, and the main wired internet connection was backed up by a dedicated 4G modem. A separate technical Wi-Fi network was also deployed.
The crew used an internal team communication system to coordinate video, sound, stage and technical operations throughout the event.

The technical setup provided consistent audio and visual coverage for more than 300 attendees despite the venue’s complex layout.
Additional displays ensured that participants in areas with restricted stage visibility could follow both speakers and presentation content. After the forum, the client received the full recording, followed by individually edited speaker sessions and discussion segments.
The post-production workflow also included privacy review and anonymisation of selected participants where required.
